Reasonable Communication & Edits – What to Expect

We strive to provide the best possible service and ensure your project meets your expectations. However, clear and structured communication is essential to keep things organised and efficient. This guide sets expectations on how we handle communication, edits, and changes to ensure a smooth working relationship.

How We Work with You

1. Clarity & Organisation

We do our best to interpret your requests accurately and deliver the results you want. The clearer your instructions, the smoother and faster we can implement changes. To help with this:

  • Please provide concise and specific feedback.

  • If multiple changes are required, grouping them together is more efficient than requesting small, individual edits over multiple messages.

  • We recommend using written summaries or marked-up screenshots for complex changes.

  • Try to avoid multiple communication channels such as WhatsApp, Email, Phone and SMS and multiple new email threads. It is best to keep to one so we can answer your requests in order and in an organised way.

2. Reasonable Revisions

We understand that adjustments are sometimes needed to get things just right. We accommodate reasonable edits and refinements within the scope of the project. Reasonable revisions include:

  • Adjusting text, layouts, or colours based on initial feedback.

  • Making minor functionality tweaks.

  • Ensuring the project aligns with the agreed plan.

For more significant changes beyond the original scope, we may need to discuss additional time and costs.

3. Managing Complexity & Avoiding Confusion

When multiple requests, conflicting feedback, or repeated changes occur, it can become difficult to manage progress effectively. To prevent this:

  • We aim to work in structured phases, making sure each stage is approved before moving on.

  • If instructions become unclear or contradictory, we may ask for clarification before proceeding.

  • Excessive back-and-forth edits can slow progress, so we encourage a collaborative but efficient approach.

4. Response Time & Workflow

We aim to respond to queries and change requests promptly. However, response times depend on workload, complexity, and project stage. To keep everything running smoothly:

  • Changes are handled in the next available work slot, rather than immediately upon request.

  • If urgent edits are required, please let us know in advance so we can prioritise accordingly.

What’s Not Included

1. Unlimited Revisions

While we want to ensure you’re happy with the final outcome, excessive or repeated changes beyond the agreed scope may require additional charges.

2. Frequent Direction Changes

If the vision for a project keeps shifting, it can lead to delays and extra work. We encourage upfront planning to avoid unnecessary backtracking.

3. Large Edits Without Prior Agreement

Major structural or functional changes that significantly differ from the original plan may need to be quoted separately.

Keeping the Process Smooth

To make the process as seamless as possible:

  • Be clear with feedback – Provide structured input to avoid misinterpretation.

  • Batch edits together – This helps us work more efficiently and reduces unnecessary back-and-forth.

  • Trust the process – We’re here to help, and working collaboratively ensures the best results.

Often requests have other technical or design considerations or implications and may seem like a simple request but can present many challenges to overcome which can effect the overall flow of the project. We would recommend reading this blog on the industry standard processes of web design and development that we follow.

We appreciate your cooperation and look forward to delivering great results for you!
